Education:
Secondary school diploma combined with two years post-secondary education in the Social Services field or secondary school diploma with an acceptable combination of education, training, and experience.
Experience:
Several years experience in family violence prevention
Experience working in a Women’s shelter or similar environment an asset
Clearly demonstrated ability managing both staff and resources
Extensive knowledge of office procedures and protocols
Excellent administrative and computer skill
Excellent verbal and written communication skills, including effective proposal writing
Strong problem solving and decision making skills, especially in crisis situations
Cross-cultural awareness is mandatory with knowledge of Yukon First Nations an asset and demonstrated experience working in a multi-cultural community
Prior experience in crisis intervention, advocacy, and counseling
Experience facilitating and co-facilitating groups and providing public education
Must be able to work in an isolated rural community
Knowledge of Federal, territorial, provincial, and private funding bodies
Must be familiar with community resources
Summary of Position Duties
The Executive Director carries out the day to day financial, personnel, facility and program management of Help & Hope for families. She works under the direction of the volunteer Board of Directors. The Executive Director will provide leadership, co-ordination, and representation in accordance with the policies established by the Board of Directors and with the objective of fulfilling our mandate.

The Executive Director reports directly to the Help & hope from Families Board of Directors
The following people report to the Executive Director – Support Workers, CAPC instructor, Administrative Assistant/Bookkeeper.
Duties and Responsibilities
Client Support
Manages the direct delivery of responsive crisis services to Help & Hope Clients, in the manner which is consistent with the home’s mandate, YTG, Health and Social Services and BC Women’s equality funding policies.
To support the clients of Help & Hope the Executive Director will:
Ensure the absolute maintenance of client confidentiality.
Ensure all required client records are kept up to date and secure.
Plan, organize, and oversee the implementation of client programs and services
Provide and oversee the provision of short term lay-counseling, planning and referral services for these clients.
Line with relevant community agencies to exchange information and arrange for workshops and in-services to enhance staff skills and/or help staff understand violence against women and crisis support services.
Making recommendations to the Board of Directors concerning the definition of services and emerging needs which may or may not fit with Help & Hope’s mandate.
Implementing and overseeing any child care requirements as required.
Effectively manage any crisis which may occur.
Facilitate or co-facilitate regular Women’s support groups or workshops fro community groups concerning issues about Violence against Women.
Staff Management
Manages the home’s staff team and CAPC staff, working collaboratively with the staff to create and maintain safe, confidential, respectful, and empowering living conditions for the home’s clients.
To maintain the high quality standards of services, the Executive Director will:
Foster a healthy work environment.
Promote team approaches to problem solving when logistically possible.
Communicate high expectations of respect for cultural and other differences.
Coach the staff through difficult and unusual client situations.
Ensure employee familiarity, understanding and compliance with all established policies for the home.
Conduct regular staff meetings.
Function as the principle contact between the staff and Board of Directors.
Establish and/or approve staff shift schedules, leave schedules, and coverage to ensure adequate coverage for the 24 hour facility.
Be a member of the staff hiring committee.
Conduct annual performance evaluations and probationary evaluations of staff.
Plan, organize, monitor, and manage staff orientation and training.
Identify and fill on going staff training needs.
Coach staff on areas of performance which requires modification in order to adhere to established policies and practices.
Oversee the administration of payroll and benefits, including the supervision of the bookkeeper.
Oversee the Community Action Program for Children and Support the CAPC staff.
Finances
To administer the home’s financial affairs ensuring that all opportunities for savings are realized and the homes monies are utilized for maximum benefit the Executive Director will:
Prepare annual budgets and make recommendations on all funding and financial issues as needed.
Ensure the maintenance of complete, accurate financial and administrative records, in a manner which anticipate and meets the reporting requirements of the YTG Ministry of Health and Social Services, BC Ministry of Women’s Equality and the Board of Directors.
Prepare cost forecasts and spreadsheets of expenditure analyses, trending data sheets and other related financial and/or statistical information that points to the need for greater fiscal management or monitoring.
Ensure the preparation of all financial documents for signatures, confirming appropriate explanatory notes, back-up paper work and/or concerns relating to financial documentation are brought to the attention of the treasure or finance committee.
Work supportively with the Board of Directors to ensure that financial issues are given high priority consideration at all Board of Directors meetings so that informed sound and proactive financial decisions are made.
Communicate with existing funders or grant agencies and actively seek out additional sources of funding.
Administrative Support to Board of Directors
The Executive Director will provide administrative support to the Board of Director to ensure that they are effectively briefed on emerging issues in a productive and timely manner.
To provide an operational perspective to the Board, the Executive Director will:
Attend monthly Board of director meetings and committee meeting as required.
Research issues with other agencies, other similar service providers, and other resource materials fro presentation to the Board of Directors with recommendation for action.
Draft correspondence and reports to other key contacts of the home on behalf of the Board as needed.
Promote members of the Board as to the deadlines for financial, personal charities, societies, YTG, and BC governments as needed
Review all incoming and approve all outgoing correspondence, befitting the Board on arising issues, forwarding correspondence to their attention as appropriate.
Administration and Operation of the Facility and its Programs
To ensure the facility operates in a smooth and efficient manner the Executive Director will:
Oversee the planning and development of the CAPC program and its activities.
Prepare written submissions for grants and the necessary completion of information.
Design and implement forms for tracking clients, staffing, expenditures, ect...
Develop and update written policies and procedures governing effective home operation, for approval by the Board of Directors.
Ensure unusual maintenance concerns are brought to the attention of the Board.
Ensure all safety procedures and security equipment are maintained and routinely tested to ensure it is fully functional.
Ensure household supplies and inventory levels are monitored, controlled and utilized in the most efficient manner possible.
Administer the home’s donations in a manner which is consistent with the direction of the Board of Director and which benefit the clients of the home appropriately.
Develop a process for planning, initiating, assessing, and maintaining programs for women.
